CHALLENGE:

  1. The on-premises version of Microsoft Dynamics CRM could not be upgraded to the latest version, necessitating a migration to the Cloud.
  2. Approximately 1,400 end users across the State would be impacted by the system changes.
  3. Concerns included resistance to the updated system, training, understanding of the new Cloud platform, and user adoption.

SOLUTION:

  1. Migrated the system to the Microsoft Government Community Cloud with focused Organizational Change Management (OCM) efforts.
  2. Implemented a strong communication strategy and a thorough training plan.
  3. Utilized a six-step approach: defined scope and objectives, conducted change impact assessment, developed change management plan, engaged stakeholders, provided training and support, and monitored adoption and success.
  4. Invested in Learning Management Software, Lessonly, to create nearly forty lessons for user training.

RESULTS:

  1. Successful re-engagement of 1,400 users from the on-premises to the new Cloud system.
  2. Continued all business operations during the transition.
  3. Created a ten-week communication cadence roadmap to ensure smooth transition and user adoption.
  4. Developed 40 Lessonly lessons and identified Super Users to support the change effort.
